What is included in a custom Vietnam tour quote? Only the services expressly listed in your dated, party-specific written quotation. Depending on the itinerary, these may include hotel nights, road transfers, local guides, domestic flights, an overnight cruise, meals and sightseeing. Others may be excluded, optional or awaiting a supplier’s confirmation. Do not assume that a suggested hotel, flight or cruise has already been booked.
Before comparing two offers, label each important service included, excluded, optional extra or subject to confirmation. That simple check reveals differences a total price or a “private tour” label can hide.
How to Read the Four Statuses on Your Quote
| Status | Meaning | What to ask |
|---|---|---|
| Included | The service is part of the quoted package, subject to the written conditions. | Which date, quantity, standard, provider and group size are covered? |
| Excluded | You must arrange or pay for it separately unless the offer changes. | Is it essential to complete the planned journey? |
| Optional extra | It can be added if feasible, with a separate price and any conditions. | What will the full revised total be? |
| Subject to confirmation | A preferred supplier, seat, room or session has not been secured. | What alternative and price adjustment apply if it is unavailable? |
These labels are a traveller’s review method, not a claim that every Haivenu quotation already uses them. Ask your travel planner to explain ambiguous lines rather than deciding that “mentioned in itinerary” must mean “included and reserved.”
Which Services Need Their Own Line in a Vietnam Tour Quote?
| Line item | Details to check in writing |
|---|---|
| Accommodation | Number of nights, hotel or alternative, room type and occupancy, breakfast, child beds, early check-in and resort extras |
| Airport and land transport | Which transfers and sightseeing journeys, private car versus shared transport, luggage space and pre-arranged child seats |
| Guiding | Exact guided days, guide language, private or join-in sessions, driver-only transfers and unguided leisure time |
| Internal flights | Each sector, passenger names, fare class, baggage, taxes, airport transfers, ticketing status and feasible connection time |
| Bay cruises and boats | Scheduled shared vessel or private charter, cabin category, onboard meals and activities, port transfers and weather alternatives |
| Meals and visits | Daily breakfast/lunch/dinner markings, drinks, entrance fees, cooking classes, boats and which workshops are optional |
| Potential extras | International flights, visas, insurance, tips, shopping, extra activities, peak-season and compulsory festive charges |
| Price and conditions | Total for your party, per-person basis, currency, applicable taxes, validity, payment stages, cancellation and amendment terms |
A fourteen-day trip may contain thirteen nights; check how many are hotels, a cruise cabin, a sleeper train or a homestay rather than assuming fourteen hotel nights. If children are travelling, ask how the quoted room occupancy and bed arrangements actually work.
Four Inclusions That Often Look More Complete Than They Are
1. A “private tour” can still contain shared services
A private driver or guide on sightseeing days does not imply an exclusive overnight vessel, private train compartment or one-to-one cooking instructor. A private cabin on a scheduled bay cruise is different from a whole-boat charter. Similarly, airport pickups may be driver-only while a local guide joins you for specified visits.
2. Domestic flights may be priced, pending—or excluded
Operators do not all use the same convention. Ava Travel’s October 2026 guide says its domestic flights are excluded on most routes; Vietnam Private Tours’ October 2026 package guide says the internal flights in its packages are included. Those statements describe their own packages, not Haivenu’s default policy. Your quote must state each flight sector, luggage allowance, taxes and whether seats are merely proposed or already ticketed.
3. Guided services may cover only certain days
Read the day-by-day programme. “English-speaking guide” could mean local guides at scheduled heritage visits, with driver-only transfers or leisure days without a guide. If you need continuous assistance or a specialist guide, ask whether it is included and who provides it.
4. Meals, hotel extras and workshops need exact boundaries
Hotel breakfast does not automatically include lunch. Cruise meals belong to the booked cruise package; drinks and premium activities may still be extra. A suggested cooking class or optional island excursion is not an included service until it appears in the final agreed list. A hotel name with “or equivalent” is not a guarantee of that exact property or room category.
Real Haivenu Examples: Two 14-Day Tours with Different Inclusions
Haivenu’s published tour data offers a useful comparison. Both examples are 14 days / 13 nights and priced on request; they are proposed itineraries, not completed bookings or fixed quotes.
| Item | Family holiday — ID 152 | Culinary tour — ID 157 |
|---|---|---|
| Internal flights proposed | Four: Hanoi–Da Nang, Da Nang–Ho Chi Minh City, Ho Chi Minh City–Phu Quoc, Phu Quoc–Ho Chi Minh City | Two: Hanoi–Da Nang and Hue–Ho Chi Minh City |
| Overnight cruise | Scheduled Ha Long / Lan Ha Bay cruise, with the agreed cabin and package meals | Scheduled Bai Tu Long Bay cruise, with the agreed cabin and package meals |
| Activities | Proposed Tra Que cooking/lunch, family heritage visits and a suitable Mekong excursion | Specified cooking classes, food tastings and guided cultural experiences |
| Typical exclusions named in the tour | International flights, insurance, childcare, room upgrades and unquoted island activities | International flights, insurance, unlisted food/drinks and additional optional workshops |
Tour 152 also identifies private land transfers and local guides for specific guided activities, not necessarily every free day. Tour 157 similarly distinguishes guided sessions from free time. Both require the accepted quotation to identify operators, hotels, cabin types, flight tickets, meals, taxes and any extra charges for your actual travel dates.
Two Timetable Details Worth Checking Before Accepting the Price
Tour 157, day 5: The proposed itinerary finishes a Bai Tu Long Bay overnight cruise, returns by road toward Noi Bai Airport and then flies to Da Nang for Hoi An. Ask for the cruise disembarkation, driving allowance, flight departure and airport check-in buffer together. The quote may need a later flight or a changed overnight plan if the connection is too tight; it should not assume the published sequence is automatically bookable.
Tour 152, day 14: The proposed final domestic leg travels from Phu Quoc to Ho Chi Minh City. If your international flight leaves the same day, confirm the entire connection—including baggage, terminal procedures and disruption margin—or consider an additional hotel night if required. Ask whether that extra accommodation and related transfers are included in the revised total.
Neither example provides a universal minimum connection time: the answer depends on actual flight schedules, tickets, airline arrangements and the day’s transfers. This is why checking a quote means checking practical service delivery, not merely counting included items.
Are Deposits, Cancellation Fees and Peak Surcharges Included?
Do not infer a “zero deposit” or a standard percentage from a tour page that says price on request. Haivenu’s published tour conditions for IDs 152 and 157 direct travellers to the accepted personalised quotation for deposit arrangements, cancellation deadlines and any non-refundable flights, cabins, hotels or workshops. Specific supplier rules can affect changes and refunds.
Ask whether the price already contains applicable domestic service taxes, mandatory festive meals, peak-date supplements and other unavoidable charges. International airfare, visa costs, personal travel insurance, tips, minibar drinks and optional activities are excluded in both example tours unless separately agreed. Do not assume a quote holds rooms or airline seats before booking confirmation.
