Arriving in Vietnam: Airport Pickup & First-Hotel Transfer Checklist

Confirm Vietnam airport pickup arrangements, updated terminal and parking rules, waiting fees and contact fallbacks before your first hotel transfer.

How do you meet your airport pickup driver in Vietnam? Before flying, get a written confirmation of your flight, arrival terminal, exact public meeting point and backup contact. After any entry checks, baggage collection and customs, go to that agreed point and verify the representative before boarding. Do not follow a generic pillar number: meeting areas vary by airport, transport type and current traffic arrangements.

The most useful preparation is not a long airport guide but knowing who is responsible when something changes. Your flight may land on time while you are still waiting for a bag. Ask the transfer provider how long it will wait, how you should report a delay and what happens if your flight is cancelled or diverted.

Before Flying: Get a Written Pickup Confirmation

Send your arrival details and ask the operator to confirm the following information for your specific booking:

Information you send What the pickup provider should confirm
Flight number, arrival date and local landing time, including any date change after midnight Airport, correct arrival terminal and how flight changes will be handled
Passenger names and how to identify your party Name or sign used by the representative, exact public hall/exit/meeting point and any route to the car park
Your phone number and preferred messaging app Driver/dispatcher contact plus a fallback if mobile data or the primary contact fails
Adults, children, suitcases, stroller and mobility needs Suitable vehicle, luggage capacity and any specifically agreed child seat or boarding equipment
First hotel name and full address Correct drop-off location and whether hotel check-in timing affects the plan
Possible late arrival or baggage delay When the waiting clock begins, included time, extra fees, rescheduling rules and who authorises a replacement

Flight tracking is not a meeting confirmation. An operator may see that the aircraft has landed without knowing when you will clear immigration or baggage claim. A welcome sign, a fixed amount of free waiting or a 24-hour hotline should not be assumed unless the accepted quote includes it. Likewise, an ordinary hotel transfer does not automatically include paid airport fast-track or an escort through immigration.

After Landing: Five Steps from the Aircraft to the Hotel

  1. Follow the correct arrivals route. For an international entry, show the passport and visa or exemption documents required for your situation. Check entry eligibility through the official Vietnam e-visa portal and your airline before departure.
  2. Collect and check your bags. Follow the carousel shown for your flight. If checked luggage is missing or damaged, contact the airline or ground handler’s baggage counter before leaving the baggage area and keep its reference details.
  3. Complete any required customs formalities. Then follow signs to the public arrivals hall or exit named in your booking. The driver may meet you in the hall while the car remains in a designated parking area.
  4. Confirm the person meeting you. Check the agreed greeting name and operator identity. Verify the car and plate if supplied; require any substitute driver to be confirmed by your original booking contact.
  5. Head to the confirmed hotel. Keep the hotel address offline and allow time for the road transfer and check-in. Do not assume a full sightseeing programme fits after a long flight.

2026 immigration note: Vietnam’s Ministry of Public Security began a separate Pre-arrival Information (PAI) pilot at Tan Son Nhat on 15 April 2026. Its May announcement described that pilot as voluntary. Confirm the latest rules for your arrival airport and date; PAI is not an e-visa, and a transfer booking is not an entry document.

Airport Pickup Locations in 2026: Hanoi, Ho Chi Minh City, Da Nang

Airport Important 2026 detail Action before arrival
Noi Bai (HAN), Hanoi T1 is domestic and T2 international. New access lanes and parking arrangements took effect on 3 August 2026, separating registered greeters, taxis and app-booked cars. Ask whether a representative meets you in the public hall or the car collects you from a designated car park. Do not use an old pickup pin.
Tan Son Nhat (SGN), Ho Chi Minh City T2 handles international arrivals; domestic flights use T1 or T3 according to the operator and route. Current airport guidance places Vietjet domestic check-in at T1 and many other carriers at T3. Verify the terminal against the actual arrival flight, particularly if another domestic flight is involved.
Da Nang (DAD) T1 is domestic and T2 international. At T2, the official guide lists pillar 08 for tour-coach pickup and pillar 03 for rideshare pickup. Those pillars are not a universal private-driver meeting point. Follow the arrangement given by your booked provider.

The Civil Aviation Authority’s August 2026 Noi Bai notice details the reorganisation of pickup lanes and car parks. For SGN, the airport operator’s 2026 terminal guidance demonstrates why old airline-to-terminal lists can be misleading; check the current airline notice rather than treating departure counter information as a guarantee about an individual arrival. At DAD, the official transport guide separates tour coaches from rideshare services.

What If Your Flight Is Late, Luggage Is Missing or the Driver Is Not There?

Flight delay or diversion: Contact the transfer provider as soon as the airline confirms the change. Include the revised flight and local arrival date. Ask whether the same driver is still assigned, where to meet and whether an added fee or replacement transfer requires your approval. A diversion to a different airport is not merely an ordinary flight delay.

Immigration or baggage delays: Inform the dispatcher if you can while waiting. Report missing baggage to the airline before leaving its service area; then explain to the pickup provider why you have not exited. Ask for its waiting policy rather than assuming the car will stay indefinitely.

Cannot find the driver: Remain in a clearly marked public area, consult the saved pickup confirmation and contact the original provider. Ask the airport information desk for assistance if needed. Do not enter a stranger’s vehicle because the person knows your hotel name.

Phone has no mobile data: Use the airport’s official Wi-Fi or information desk if available, and follow the offline fallback arranged before travel. A data-only eSIM may not support a normal phone call; see our Vietnam SIM and eSIM guide for options.

A message you can adapt after a delay: “Our flight [number] now arrives at [airport and terminal] on [date] at [local time]. Please confirm the meeting point, pickup contact and any waiting or replacement charges.”

How This Applies to Real Haivenu Itineraries

The published 14-Day Vietnam Sonata proposes a private pickup from Noi Bai to the Hanoi hotel on day 1, plus separate airport transfers for the Hanoi–Hue flight on day 6 and the Da Nang–Ho Chi Minh City flight on day 10. The programme does not establish a particular driver, greeting sign, free waiting period or same person at each airport. Those details belong in the accepted booking.

Haivenu’s 14-Day Private Family Holiday also starts with a Hanoi arrival transfer and includes Da Nang pickup on day 5. Families need vehicle capacity, stroller space and child seats confirmed in writing. Its day 14 Phu Quoc–Ho Chi Minh City flight should not be assumed to connect safely with an independent international departure without checking luggage and terminal procedures.

Both are sample tour programmes, not records of completed airport pickups. If you want to see how travel time affects the first afternoon, read Vietnam Travel Times.

Save These Five Details Before You Fly

Keep one offline screenshot with your (1) flight number and arrival date, (2) confirmed terminal, (3) exact meeting point and greeting identifier, (4) provider contact and fallback, and (5) first-hotel address. Keep the provider’s written waiting and change terms with your booking. Do not share passport scans or payment details in an open group chat.

To plan a tailored trip, use Haivenu’s Plan My Trip to share your arrival details, party size, luggage and any seating or mobility needs. Ask for the precise airport meeting instructions, responsibilities if your flight is late and first-hotel drop-off to be confirmed before you book. It is the clarity of those arrangements—not a generic promise of an effortless arrival—that makes your first transfer easier.
